Emails are generally shorter than letters. As they are often written
quickly, in response to a request or question, they may contain only a
few lines. Informal English, abbreviations, and absence of standard
salutations are common when you write emails.<br />
Emails may contain the following elements:<br />
– Subject line<br />This shows the reader the exact subject of the email<br />
– (Salutation)<br />This is optional. Some people start with "Hi", others with the first name "Clare", or others with no name or salutation at all.<br />
– Reason for writing<br />
– Main point<br />
– (Closing)<br />There are a variety of closing phrases, such as "Cheers" or "Thanks". These are also optional. <br />
<strong>How to write better emails</strong><br />
1. Use a descriptive subject line.<br />Say what the email is about in a few words. Instead of writing "Urgent", write "Meeting at 10am about pay rise".<br />Use a subject line each time you reply to an email, to avoid subject lines starting Re: or R:R:<br />Be
careful to avoid writing general subject lines, such as "Hello" or
"Hi", as some email providers automatically delete these as spam.<br />
2. Keep your emails short.<br />Try
to keep to only one point in each email. If necessary, you can send
more emails on different points. If you write a descriptive subject line
for each email, it's easier for your reader to understand the content
of your email.<br />You don't need to quote all the previous messages in
the one you send. You can selectively quote (only including the previous
question, for example) by using the angle brackets < < quote here

3. Write simple, direct English.<br />This is especially important if you're writing to someone whose first language is not English.<br />
Here are some ways of writing simple English:<br />– use active forms instead of passive forms<br />– write short sentences rather than long ones (if in doubt, stick to a “who did what to who, how, where and when)<br />– don't use idioms<br />– use common words rather than technical or jargon words if your reader is not in the same field as you<br />
4. Make sure your reader knows what to do next.<br />Help
your reader act on your email. For example, if you want your reader to
find some information for you, write "Please can you find me the sales
figures for 2009" instead of the vaguer "I'm going to need the sales
figures for 2009".<br />
5. Reduce the amount of email you send.<br />Most
people receive more – rather than less – email every day. Here are
some ways you can reduce the number of emails you send to people:<br />
– make a phone call rather than write an email. This is particularly effective if you only want a quick piece of information<br />

only send an email to the people who need to see it. Don't
automatically click "reply to all" if only one or two people need to
read your message.<br />
– don't take part in chain emails (when you have to forward something on to five of your best friends, for example)<br />
– don't reply to spam<br />
6. Don't send heavy attachments.<br />If possible, send a zip file, or give web addresses where your reader can find information.<br />
7. Be careful what you write in your email.<br />Try
to make your emails informative and polite, and use a neutral tone.
Remember that your reader could forward your email to other people, so
only write what you would be happy for other people to read. (No gossip,
no personal comments, no confidential information and no ambiguous
English such as sarcastic humour.)<br />Avoid using emoticons and smilies in business emails, or too many exclamation marks.<br />
8. Check your email before you send it.<br />Use
a spell check to eliminate spelling mistakes. Read your email aloud to
check for grammar and punctuation errors. Ask yourself these questions:<br />"Is this clear?"<br />"Does my reader know what to do next?"<br />"Is this polite?"<br />
<strong>Samples for writing emails</strong><br />
There
are a number of ways to start the email. In many cases, you can copy
the sender and use the same greeting, but if you are the one to write
first, here are some possible greetings.<br />
– Friends and colleagues<br />"Hi" is informal, and you can use it for friends and colleagues.<br />You can also use "Hello" or "Hello + first name" if you know the person well.<br />
– For acquaintances<br />Use "Dear Mr Jones" / "Dear Ms Jones" if you know the name of the person. Like with letters, use Ms instead of Miss or Mrs.<br />

first sentence should only have one theme. For example, your reason for
writing may be to ask for help, or to share some information, or to ask
a question. Your first sentence for these different situations could

If
you have more than one reason for writing, give each reason its own
paragraph. It doesn't matter if your paragraph is only one line long. In
fact, the extra space helps your reader to understand you have more
than one reason for writing, and that each reason is different from the

Most children go to state-run primary and secondary schools. Schools try to have clear rules for acceptable behaviour. For example, <strong>pupils</strong>
(school children) have to show respect to their teachers. Often they
have to stand up when their teacher comes into the classroom and say
"Good morning". If pupils break the rules, they can expect to be <strong>sent to the headmaster or headmistress</strong>, or to <strong>do detention</strong>, when they stay behind after the other pupils go home.<br />
Most
schools have lessons in the morning and in the afternoon. Pupils can go
home for lunch, or have their lunch in school. Some have a <strong>packed lunch</strong> (where they bring lunch from home, such as sandwiches, fruit etc) and some eat what the school prepares. These "<strong>school dinners</strong>" vary in quality, and there has recently been a lot of media interest in providing healthy school dinners for pupils.<br />
Pupils can expect to get <strong>homework</strong> for most <strong>subjects</strong>, and there are regular tests to check progress. At the end of each of the three <strong>school terms</strong>, teachers give each pupil a <strong>report</strong>. Schools also have a <strong>parents' evening</strong> each year, when the parents can meet the teachers to discuss their child's progress.<br />
School isn't just lessons and homework though. <strong>Overviews</strong><br />
After
you give your opening statement, you should give a brief overview of
your presentation. This includes what your presentation is about, how
long you will take and how you are going to handle questions.<br />
For example, a presentation to sales staff could start like this:<br />"Welcome / "Hello everyone."<br />
Opening statement<br />"As you all know, this company is losing its market share. But we are being asked to increase<br />sales by 20 – 25%. How can we possibly increase sales in a shrinking market?"<br />
Overview<br />"Today
I am going to talk to you about how we can do this. My presentation
will be in three parts. Firstly I am going to look at the market and the
background. Then I am going to talk to you about our new products and
how they fit in. Finally, I'm going to examine some selling strategies
that will help us increase our sales by 20%. The presentation will
probably take around 20 minutes. There will be time for questions at the
end of my talk."<br />
<strong>Useful language for overviews</strong><br />

During your presentation, it’s a good idea to remind your audience occasionally of the benefit of what you are saying.<br />
"As I said at the beginning…"<br />"This, of course, will help you (to achieve the 20% increase)."<br />"As you remember, we are concerned with…"<br />"This ties in with my original statement…"<br />"This relates directly to the question I put to you before…"<br />
<strong>Keeping your audience with you</strong><br />
Remember
that what you are saying is new to your audience. You are clear about
the structure of your talk, but let your audience know when you are
moving on to a new point. You can do this by saying something like
"right", or "OK". You can also use some of the following expressions:<br />
"I'd now like to move on to…"<br />"I'd like to turn to…"<br />"That's all I have to say about…"<br />"Now I'd like to look at…"<br />"This leads me to my next point…"<br />
If
you are using index cards, putting the link on the cards will help you
remember to keep the audience with you. In addition, by glancing at your
index cards you will be pausing – this will also help your audience to
realise that you are moving on to something new.<br />
<strong>Language for using visuals</strong><br />
It's important to introduce your visual to the audience. You can use the following phrases:<br />
"This graph shows you…"<br />"Take a look at this…"<br />"If you look at this, you will see…"<br />"I'd like you to look at this…"<br />"This chart illustrates the figures…"<br />"This graph gives you a break down of…"<br />
Give
your audience enough time to absorb the information on the visual.
Pause to allow them to look at the information and then explain why the
visual is important:<br />
"As you can see…"<br />"This clearly shows …"<br />"From this, we can understand how / why…"<br />"This area of the chart is interesting…"<br />
<strong>Summarising</strong><br />
At the end of your presentation, you should summarise your talk and remind the audience of what you have told them:<br />
"That brings me to the end of my presentation. I've talked about…"<br />"Well, that's about it for now. We've covered…"<br />"So, that was our marketing strategy. In brief, we…"<br />"To summarise, I…"<br />
<strong>Relate the end of your presentation to your opening statement:</strong><br />
"So I hope that you're a little clearer on how we can achieve sales growth of 20%."<br />"To return to the original question, we can achieve…"<br />"So just to round the talk off, I want to go back to the beginning when I asked you…"<br />"I hope that my presentation today will help you with what I said at the beginning…"<br />
<strong>Handling questions</strong><br />
Thank the audience for their attention and invite questions.<br />
"Thank you for listening – and now if there are any questions, I would be pleased to answer them."<br />"That
brings me to the end of my presentation. Thank you for your attention.
I'd be glad to answer any questions you might have."<br />
It’s useful
to re-word the question, as you can check that you have understood the
question and you can give yourself some time to think of an answer. By
asking the question again you also make sure that other people in the
audience understand the question.<br />
"Thank you. So you would like further clarification on our strategy?"<br />"That's an interesting question. How are we going to get voluntary redundancy?"<br />"Thank you for asking. What is our plan for next year?"<br />
After you have answered your question, check that the person who asked you is happy with the answer.<br />
"Does this answer your question?"<br />"Do you follow what I am saying?"<br />"I hope this explains the situation for you."<br />"I hope this was what you wanted to hear!"<br />
If
you don't know the answer to a question, say you don't know. It's
better to admit to not knowing something than to guess and maybe get it
wrong. You can say something like:<br />
"That's an interesting
question. I don't actually know off the top of my head, but I'll try to
get back to you later with an answer."<br />"I'm afraid I'm unable to answer that at the moment. Perhaps I can get back to you later."<br />"Good question. I really don't know! What do you think?"<br />"That's a very good question. However, we don't have any figures on that, so I can't give you an accurate answer."<br />"Unfortunately, I'm not the best person to answer that."<br />
<strong>What can you say if things go wrong?</strong><br />
You think you've lost your audience? Rephrase what you have said:<br />
"Let me just say that in another way."<br />"Perhaps I can rephrase that."<br />"Put another way, this means…"<br />"What I mean to say is…"<br />
Can't remember the word?<br />
If
it's a difficult word for you – one that you often forget, or one that
you have difficulty pronouncing – you should write it on your index
card. Pause briefly, look down at your index card and say the word.<br />
<strong>Using your voice</strong><br />
Don't
speak in a flat monotone – this will bore your audience. By varying
your speed and tone, you will be able to keep your audience's attention.
Practise emphasising key words and pause in the right places – usually
in between ideas in a sentence. For example "The first strategy involves
getting to know our market (pause) and finding out what they want.
(pause) Customer surveys (pause) as well as staff training (pause) will
help us do this."<br />

<strong>Not knowing enough grammar</strong><br />
A good understanding of grammar will allow you to be flexible when you
speak English, and to choose the best way of saying something. So for
example, you might be talking about a situation where the passive would
be the best choice, but because you can’t remember the past participle
of the verb (or the correct structure) you end up having to use the
active form. The more grammar you know, the more choices you have to
express yourself concisely.<br />

So what are some of the solutions?</h3>
It’s important to speak as much English as you can, as this is the
only way to improve fluency and confidence. Here are some ways you can
do this – at the same time as making sure your grammar is as accurate as
possible.<br />
<strong>Keep it simple</strong><br />
Use simple sentence structure to help you avoid mistakes. Don’t make
your sentences too long, and stick to a simple format of SVOMPT
(subject, verb, object, manner, place, time) in your sentences.<br />
<strong>Set yourself some grammar targets to practise</strong><br />
You can’t learn everything all at once. If you’re using a course book to
help you learn English, use the suggested module order as a guide. So
for example, if you’re learning how to use conditional forms, try to
practise these as much as possible outside the classroom, too. “New”
language takes time and practice to absorb – you’ll probably make
mistakes at first, but keep going. You can be flexible with your
targets, taking the time you need to concentrate on one particular area
of grammar<br />
<strong>Listen closely to what other people say</strong><br />
A lot of grammar words in English (articles, determiners, auxiliaries,
prepositions etc) are not stressed – unlike the information words, such
as nouns, adjectives and verbs. But just because you can’t hear them as
easily doesn’t mean that they aren’t there! Ask someone to slow down (or
repeat) if they’re speaking particularly fast and you think you’ve
missed some of the grammar words. This will help to check your

For example, native Spanish speakers have a tough time distinguishing between long and short i (as in pine and pin) while native Japanese speakers have difficulty distinguishing between l and r. To test how well your students are hearing what you are saying, try this listening exercise. On a piece of paper, create a <a href="http://www.eflsensei.com/L-and-R-Pronunciation-Game/" rel="nofollow" style="color: #2a55ff; font-size: 16px; font-weight: bold; margin: 0px; padding: 0px; text-decoration: none;" target="_blank">fishy flow chart</a>. Draw a small fish on one side of your page, and in it write a minimal pair using the sounds your students need to work on (such as pine and pin). Draw two wavy lines from that fish to two other fish. Students will choose either the top or bottom fish depending on what they think they hear. In those fish, write another minimal pair (such as seedy and city). Write the same pair in each fish. Then write two waves going from each of those fish to two more. Students will have four fish to choose from this time, depending on which fish they started with and what word they think they heard in the last round. In these four fish, write another minimal pair (such as lime and limb). Draw two wavy lines from each of those fish to eight boxes this time. In each box, write a fishy location (and teach some ocean vocabulary at the same time: e.g. the tuna palace, brightbubble beach, swordfish island, etc.). Copy your flow chart and give one to each student. Then read one of the words in the first fish, and have students put their finger on the appropriate fish. Read a word in the second fish, and students move from there depending on what they think they hear. Continue with a third round, and then ask students where their fish has landed. If they heard all the words correctly, everyone should be on the same box.</div>

You're right, there are many well-known differences between British and American English, but these differences won't cause you any serious problems if you come and work in Britain.<br /><br />First, there are a few noticeable <u>GRAMMAR</u> differences between British and American English: I'll talk about the two most important ones.<br /><br />First of all, when Americans make sentences using <b>'just'</b>, <b>'already'</b> or <b>'yet'</b>, they normally use the past simple tense, while in Britain, we use the present perfect.<br /><br />So an American, for example, might say:<br /><br /><i>"I <b>already had</b> lunch."</i><br /><i>"She didn't arrive yet."</i><br /><br />And a British person would say:<br /><br /><i>"<b>I've already had</b> lunch."</i> - That's <b>"I have already had</b> lunch."<br />Or... <i>"She <b>hasn't</b> arrived <b>yet</b>."</i><br /><br /><br />Also, in Britain we often use <b>'have got'</b> or <b>'has got'</b> when we talk about possession, while Americans generally just use <b>'have'</b> or <b>'has'</b>.<br /><br /><br />So, for example, in American English we might say:<br /><i>"I have a new car."</i><br /><br />In British English it's more normal to say:<br /><i>"I've got a new car."</i><br /><br />The meaning's the same, there's just a small grammatical difference that you might notice.<br /><br />There are these and a few other very small differences, but to be honest, these differences almost never make it difficult for us to understand each other.<br /><br /><br />On the other hand, the differences in <u>VOCABULARY</u> between American English and British English are stronger than the grammatical differences, but again, these very rarely cause serious problems.<br /><br />A lot of the words which are different are informal or slang words...<br /><br />For example, I think many Americans would be unfamiliar with the British slang word <b>'naff'</b>, which means 'un-cool' or 'poor-quality'.<br /><br />On the other hand, a Brit (a British person) might be very confused by a sentence like:<br /><br /><i>"The café is kitty-corner to the pharmacy."</i><br /><br />This means that the café is diagonally opposite to the pharmacy, but we don't have the word <b>'kitty-corner'</b> in British English.<br /><br />Another example would be telling the time...<br /><br />If we want to describe <b>2:45</b> in Britain, we might say:<br />"Quarter <b>to</b> three", or <b>3:15</b> would be "Quarter <b>past</b> three".<br /><br />On the other hand, in America, these might be:<br />"Quarter <b>of</b> three" for <b>2:45</b>, or "Quarter <b>after</b> three" for <b>3:15</b>.<br /><br />It's another small difference, but it's one that's not going to cause serious problems - it's quite easy to get used to.<br /><br /><br />There are also some differences in <u>SPELLING</u> which I should mention.<br /><br />One example of this is the verb <b>'to practise'</b>:<br />In British English, this is spelt with an <b>'S'</b>, so that's<br /><b>P-R-A-C-T-I-S-E.</b><br />In American English, it's spelt with two <b>'C's</b>, so in American English it's<br /><b>P-R-A-C-T-I-C-E.</b><br /><br /><br />And there are lots of other examples of slight difference of spelling, but about 99% of the time, British and American people can understand each other without any trouble at all. Americans, I think, don't watch quite so much British TV or British movies.<br /><br />I should also point out that regional English can be an important thing to think about. Not everyone in Britain talks like James Bond. 2. You don't always hear the whole verb</div>

This is because "give up" is an example of a phrasal verb which can be separated. In "give up", give is the verb, while up is a particle.</div>
